PhoneTender ("we," "us") provides AI receptionist, missed-call text-back, and review-request services to small businesses ("Clients"). This policy explains what information we collect, how we use it, and the choices available to you — whether you are a business working with us or a customer of one of those businesses.
From our Clients (the businesses): business name, owner name, contact details, business hours, service and pricing details, and billing information (processed by Stripe — we never store card numbers ourselves), collected through our signup forms and setup calls.
From our Clients' customers (callers and texters): when you call or text a business that uses PhoneTender, we process the information needed to deliver that service — your phone number, the contents of your call or text conversation, call recordings and transcripts, your name if you share it, and appointment details if you book. We receive this information because you contacted the business; we never buy, scrape, or otherwise acquire consumer contact lists.
From website visitors: only what you submit through our forms. Our site does not use advertising trackers.
What we never do: we do not sell personal information. We do not share it with third parties for their marketing. We do not use one business's customer information for any other business, and we do not use it for our own marketing. Each Client's data belongs to that Client.
Messages are sent on behalf of the business you contacted — for example an instant reply when your call was missed, a booking confirmation, or an invitation to leave a review after a visit. You receive them because you called, texted, or booked with that business.
Message frequency varies with your conversation (typically 1–3 messages per interaction). Message and data rates may apply.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Opt-in data and consent are never sold or shared.
Only the service providers required to run PhoneTender, and only so they can process it for us: telephony and SMS delivery (Twilio), AI voice processing (Retell AI), scheduling (Cal.com), website and data hosting (Netlify), and payments (Stripe). We share a caller's messages and details with the business they contacted — that conversation is theirs. We may disclose information if the law requires it. That's the whole list.
We keep service records (call logs, transcripts, message history) while a Client's service is active so we can operate it and produce reports. When a Client cancels, we delete or de-identify their data — including their customers' information — within a reasonable period after any final reporting, except where we must retain records for legal or billing reasons. Clients may request deletion of their data, or of a specific customer's data, at any time.
Information is transmitted over encrypted connections and stored with reputable U.S. cloud providers. Access is limited to the small PhoneTender team that operates the service — sales representatives never have access to Clients' customer conversations or contact information.
You can request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it by emailing info@phonetender.com. California residents may exercise their rights under the CCPA/CPRA the same way; we do not sell or "share" personal information as those terms are defined in California law, and we honor requests without discrimination. If you are a customer of a business that uses PhoneTender, you can also make these requests directly to that business.
Our services are for businesses and their customers and are not directed to children under 13. We do not knowingly collect information from children.
If we make material changes, we will update this page and the date above.
